The Community Foundation for Northeast Florida, Inc. is a nonprofit service organization serving donors and their charitable or philanthropic causes by providing expert assistance in developing unique ideas, approaches and strategies for giving. The Donor Services Specialist is responsible for administrative and operational functions within the department. This position maintains Foundation donor database records and files, provides service support to existing funds and donors, event logistics and support, maintains the convening calendar and perform other general office duties to support the Donor Services department. The support across all members of the department and foundation.

Essential duties and responsibilities

It is not designed or intended to cover or contain a comprehensive listing of the activities, duties, or responsibilities of the employee. • Maintain donor management system (Raiser’s Edge) with accurate donor information, regularly setting up new funds, updating records, and maintaining database integrity • Maintain Foundation’s fund files (both electronic and physical copy) in an organized and efficient manner; includes physical filing and document scanning responsibilities • Provide administrative support to assigned team members, including scheduling, meeting coordination, meeting material preparation, data entry, travel arrangements, expense reporting and other general administrative tasks • Coordinate meeting/event registrations and logistics, including securing space, arranging food and refreshments, preparing materials, and confirming reservations and attendance. • Write, edit, and maintain documents (e.g. correspondence, agendas, minutes, event programs, reports, marketing materials, etc.) to communicate information or for • Prepare power point presentations and other convening collateral as needed • Website monitoring for Donor Services sections/pages Inter-departmental Links • Serve as backup coverage for front desk, as assigned, including related mail and bank deposit duties • Assist with departmental and Foundation events, which may be afterhours, including event pre-planning, logistics, set up, tear down, and other duties as assigned • Assist with and contribute to process improvements as directed • Performs other duties (or functions) as assigned
• Proficient in database and CRM software, with minimum of two years direct experience required, Blackbaud suite preferred • Proficient in MS Office365, Zoom and other convening platforms • Ability to learn alternate software systems • Excellent interpersonal skills and telephone presence; ability to work and communicate with various types of individuals • Understanding of and commitment to the Foundation’s goals and mission • Ability to think and act independently and with good judgement • Well organized with the ability to manage multiple assignments with time constraints and provide strong follow-through • Professional attitude, with ability to establish and maintain positive working relationships with others both internally and externally • A valid State of Florida Driver’s license and access to a motor vehicle. Education and Experience
• High school degree required; college degree preferred • Minimum of four years of administrative support experience; previous experience working in a nonprofit environment preferred
