The Program Specialist is responsible for creating a welcoming front office experience for clients and volunteers and overseeing the efficient processing of emergency assistance and food appointments. In partnership with volunteers, the position oversees the process of accepting incoming calls, creating client accounts, setting appointments for various services, processing assistance requests and maintaining client documentation. The position supports other managers with data management and special projects as directed by the Director of Social Programs.

Essential duties and responsibilities

• Assure reception area and front office are organized and maintained with updated information, sign in sheets, etc. • Greet front office and assistance volunteers, assess daily tasks and timeframes that will require staff support, and manage time accordingly. • In partnership with ED and DSP, works to configure and administer software to support program management. Acts as software expert for program applications. • In partnership with Volunteer and Training Manager, train volunteers to answer phones and retrieve messages, to set pantry appointments and to process and document assistance requests. Provides continuing training and support to DCF Volunteers. Provides support to these tasks in the absence of volunteers. • Schedules volunteers for front desk and financial assistance programs. Communicates needs for additional volunteers to DSP. • Assist volunteers in conducting client intake, processing client provided documents, determining eligibility and processing assistance requests. • Enter client data and appointments in databases. Assures schedules to off-site locations are provided and results retrieved in a timely manner. • Create documents and/or complete forms for vouchers, reimbursements, etc. • Assist with data entry, mailings, report processing and special projects for other Managers as requested. • Manage client files to ensure required documentation is complete and confidential.

Qualifications

Education and Experience

• High School Diploma, Associates Degree preferred. • Basic computer skills • Outgoing and friendly demeanor • Ability to work with diverse populations and manage tense situations calmly. • High attention to detail • Ability to manage tasks and respond to volunteer questions in busy and high-volume environment. • Ability to sit for extended period of time. • Call Center experience preferred. • Commitment to the mission of the organization. • Strong cultural competence: ability to build positive relationships with a wide variety of stakeholders including donors and volunteers for faith-based and grassroots organizations.
