The Donor Relations Specialist is responsible for providing an excellent donor experience for all of City Rescue Mission donors. The Donor Relations Specialist will uphold the highest standards & confidentiality in processing of donor data and donations.
This is a donor centric and donor data driven role that requires attention to detail when processing donations.
Essential duties and responsibilities
• The primary responsibility of this position is to maintain the donor database, gift entries, gift acknowledgements and stewardship. • Ensures that all mail is sorted and processed, creating a daily batch log; checks and processes daily credit card payments. • Accurate recording and receipting of gifts into Blackbaud Raiser’s Edge in a timely basis. • Process incoming gifts based on current policies and procedures. • Transfer checks to the Finance Department with a notation on how to post totals (i.e.. restricted or unrestricted, etc.) • Requires set hours to open mail, process gifts with accurate data entry, and receipt all donations within 48 hours. • Works with Finance Manager to ensure donor database totals balance with accounting totals. • Coordinate with the mail house on mailing list for outgoing donor letters. • Research donor information from diverse sources to ensure donors records has the most accurate information. This would include receiving information from the Donor Development Officers. • Create and maintain a repertoire of donors thank you letters according to a schedule. • Responsible for ensuring the accuracy and integrity of Blackbaud Raiser’s Edge data; work with Director of Development to pull accurate mailing lists for the newsletters, events and appeals, queries, weekly portfolio reports. • Collaborates with the Director of Development and Finance Manager in assisting donors with gift inquiries and/or donor issues. • Run a query of all new donors review with the Director of Development on mailing the new donor welcome package. • Provide excellent and timely customer service to donors with questions via phone and email. • Other duties as assigned.
• Working knowledge of Blackbaud Raiser’s Edge, or experience working with computerized data systems/CRMs. • Excellent interpersonal, communication and presentation skills, both written and oral. • Strong self-motivation and the ability to work as a team member; willingness to learn new things and take on new projects to further the goals of the team. • Must be able to work in an environment of constant demands and frequent interruptions. • Detail-oriented, with strong organizational, analytical, and planning skills. • Proficient in Microsoft Windows work environment and Microsoft Office, especially Word and Excel. • Commitment to maintain confidentiality and a high degree of accuracy in donor records. • Must provide a clear Biblical testimony of a personal experience of receiving by faith Jesus Christ as Lord and Savior. • Understands Christian principles, exemplifies them, and shares with other staff and persons served. • Maintains an exemplary Christian lifestyle, affirms the CRM Statement of Faith, Code of Ethics and Position Statements. • Enjoys people and can work with diverse populations. • Can work in harmony with other staff. • Ensures strict confidentiality is maintained. • Ability to work under minimal supervision.
Education and Experience
• High School Diploma Required • Data Entry Proficiency. • Knowledge of Database Programs. • Experience is gift processing is helpful. • Two or more years of experience in fundraising and direct mail. • Work experience in non-profit preferred.
