DLC Nurse & Learn is an inclusion child care center for children of all abilities with classrooms for infants – 5-year olds, including VPK for 4-year olds. We also have after school programs for children up to 22 years of age. The Program Assistant will perform administrative, programmatic, development and operational duties to support the Chief Programs Officer and the Leadership Team in areas of supervising, planning and coordinating organizational functions.

Essential duties and responsibilities

1. Assist the Leadership Team by coordinating and performing general administrative support including research, data entry, filing, reporting, records maintenance, printing, copying, scanning, faxing and mailing. Maintain families, students, staff and agency confidence and protect operations by keeping information confidential. 2. Assist in planning, organizing, implementing, schedule preparation, logistics, clean up and all aspects of internal events and special days (summer camp, water day, dances, egg hunt, reading week, teacher appreciation, Thanksgiving, Christmas, picture day, health days, etc.). Coordinate room reservations, church reservation logistics, etc. 3. Professionally and courteously welcome all DLC guests, prospective families, volunteers, community partners, funders, etc.; Contact staff to let them know of visitors or packages. Escort guests to appropriate room or office. Create and maintain a welcoming reception area. 4. Assist the Executive Director and Board of Directors with administrative support, scheduling, meetings, minutes, presentation materials, communication, planning and executing fundraising events, internal and external agency events, and marketing activities: annual appeals, special events, solicitations, donor recognition, newsletters, thank you letters, campaigns, etc. 5. Prepare and compile documentation for internal and external meetings, Board meetings, trainings, events, presentations, etc. Facilitate internal and external communication through timely and effective creation and distribution of information and documentation. 6. Coordinate, recruit and engage all volunteers and groups. Manage volunteer contacts and service hours as well as lead appreciation efforts. 7. Promptly answer incoming phone calls and provide assistance to prospective families, volunteers and donors questions as thoroughly as possible; Transfer calls to appropriate staff as needed. Take accurate messages and provide excellent service to all internal and external entities. 8. Supports aspects of day-to-day operations of the facility in conjunction with the Operations & Resource Coordinator. 9. Support classrooms with administrative duties (e.g. copying, updating classroom binders, class list, birthday list, staff list, phone tree, craft supplies, etc.). 10. Collaborates with other Leadership Team members and the Operations & Resource Coordinator to ensure seamless business execution, reinforce positive morale, and uphold agency values. 11. Accept and process monetary and in-kind donations, per policy. Manage donor software (Bloomerang) and track donations. Ensure that all contributed gifts are received and processed in accordance with all applicable IRS and accounting regulations. Complete tax receipts and thank you letters for donations in a timely manner. 12. Assist with group and individual tours of the center when CPO and PD (Program Director) are not available. 13. Keep public and shared employee spaces neat and tidy (including break room). 14. Assist staff appreciation and recognition efforts; Assist in coordinating staff team-building activities, campaigns, leadership meetings and trainings. 15. Assist in evacuation of the building in an emergency and be able to respond immediately in an emergency. 16. Responds to emails and messages in a timely manner, using clear, concise, courteous responses. 17. Work as a team with other staff to make DLC and each child successful. 18. Report any suspected abuse to the Chief Programs Officer. 19. Performs other essential duties as deemed necessary by the Executive Director and Chief Programs Officer the organization to thrive. 20. Maintain a professional attitude at all times. 21. Attend in-service trainings and staff meetings.

Education and Experience

- High school diploma required. Completed Associates preferred. - Minimum of 3 years administration assistant experience, preferably in a nonprofit organization. - Successful Completion of DCF and AHCA background screening. - Proficient in Microsoft Office applications, and donor database software, preferred. - Strong interpersonal and customer service skills including the ability to work effectively within a diverse community and team. - Excellent written and verbal communication skills via phone, email and in-person. Ability to type accurately and use proper grammar. - Strong work ethic with a demonstrated sense of urgency and follow through. Self-motivated, ability to work independently with a minimal supervision and with clear focus on high quality, and function effectively in a collaborative, team environment. - High level of organization and attention to detail and accuracy. Ability to manage time effectively, multi-task & prioritize in order to meet established goals and deadlines. Ability to identify problems and apply appropriate solutions. - Able to lift up to 75 pounds, squat, bend over, sit or stand for an extended period of time. - Ability to provide an empathic, supportive and caring environment for children. - Strong critical thinking skills, an entrepreneurial work ethic and a desire to “get the job.” - Proactive problem-solved who is able to work successfully in a high-paced environment. - Uphold HIPPA regulations and confidentiality. - Obtain and maintain certificate in Adult CPR and Infant/Child CPR & Basic First Aid.
