Description

The Garden Club of Jacksonville seeks a full-time Operations Manager to oversee its campus, maintenance, and event management. This Operations Manager ensures operations achieve customer excellence, optimize costs, increase revenues, and improve profitability. This position reports to the Executive Director.

Essential duties and responsibilities

Operations: Manages and develops resources to ensure the physical health and cleanliness of the building. • With the Executive Director, develops an annual budget for facility management, which as accurately as possible, reflects the physical condition of the campus. • Develops and implements a facility maintenance plan for the buildings and grounds. • Plans, organizes, schedules, coordinates, supervises, and directs facility maintenance and event ambassador staff. • Oversees all aspects of maintenance, such as maintaining current inventories and requesting necessary purchases. • Ensures campus cleanliness with regularly scheduled maintenance. • Maintains safety standards throughout the campus and ensures training is provided to staff as needed in compliance with relevant regulations. • Responsible for reporting all needed repairs and damage to the building and campus. • Manages vendor and contractor relationships, maintains required documentation for each of them, and processes invoices. • Obtains multiple quotes for repairs and improvements to the campus. • Ensures environmental procedures are being maintained in accordance with local, state, federal, and Garden Club requirements. • Responsible for identifying, developing, documenting, and communicating standard operating procedures for all areas of operations. • Eagerly takes on other projects and initiatives to improve the Garden Club’s operations. • Champions and models the Garden Club's mission, vision, and values. Rentals: Manages all aspects of Garden Club event rentals. • Provides unparalleled customer service to prospective rental contacts and rental clients. • Provides excellent tours of the campus, pointing out features that cater to each customer’s needs. • Develops communication strategy for rental inquiries. • Maintains and updates Rental Dashboard information. • Ensures the Garden Club Events calendar is continually updated. • Develops rental agreements with clients and maintains payment schedules for each. • Works with rental clients to finalize set-up plans for events. • Ensures proper staffing for set-up, event management, and cleaning. • Ensures event checklists are followed by rental clients and event ambassadors. Garden Club Events: Manages set-up for all Garden Club events. • Provides unparalleled customer service to Garden Club members and the general public. • Works with volunteers to assure proper set-up for Garden Club events. • Ensures proper staffing for set-up, event management, and cleaning.

Qualifications

• Demonstrated ability to lead and manage staff, preferably in building operation and maintenance. • Solid, hands-on, event management skills, including preparation, set-up, audio/visual technology knowledge, and communication skills. • Strong organizational abilities including planning, delegating, and task facilitation. • Ability to communicate in a friendly manner with staff, board, volunteers, members, and rental clients. • Ability to work in a fast-paced environment that requires handling multiple tasks at a given time and rapidly adapting to changing priorities and schedules. • Ability to work independently and handle multiple projects. • Advanced Google Suite skills, including Gmail and Google Drive. • Advanced Microsoft Office skills, including Word, Excel, and PowerPoint. • Excellent writing and speaking skills. • Excellent organizational, problem-solving, interpersonal skills, and critical thinking skills. • Demonstrates tact and diplomacy in dealing with internal and external customers and with handling proprietary information. • Ability to build and manage budgets. • Ability to handle the pressures of deadlines and client and member demands. • Advanced analytical, problem-solving, and negotiation skills. • Required to stand, stoop, crouch, walk, climb stairs, and reach with hands and able to lift and/or move up to 50 pounds.

Education and Experience

• Bachelor’s degree and at least two years operations experience preferred.

Salary/Salary Range

Salary: $43,000-47,000. This position receives 40 hours of paid time off after completing a 90-day evaluation, an additional 40 hours after six months, and 120 hours after one year of employment. The Garden Club observes six paid holidays each year, plus three paid floating holidays. Because of the small size of the organization, the Garden Club does not offer health benefits.
