Jacksonville Area Legal Aid (JALA) seeks a front desk/legal assistant to work in the Immigration Unit. This is a full-time position working in JALA’s downtown Jacksonville office. Must be able to work 8:30 am to 5:00 pm, Monday to Friday. Given the nature of the duties, NO flexible schedule is available for this position. Bilingual Spanish/English speaker required.
Salary commensurate with experience. Essential duties and responsibilities
• Pre-screens applicants for immigration services. Schedule appointments and ensure the business calendar is accurate and up-to-date. • Greets and “checks in” applicants and clients. • Handles some aspects of client cases – answer incoming calls, calls and email clients, returns calls and emails (where applicable), directs calls and takes messages for case handlers and associates, prepares letters to clients, copies documents that clients/applicants bring to the office, etc. • Use of telephonic interpreter service when needed. Interprets for non-Spanish speaking staff when needed. • Partial responsibility for inputting and opening cases in JALA Legal Server. Assists with organization of files to be closed. • Assist with other administrative tasks, such as data entry, copying, filing etc. • Assure incoming and outgoing mail is managed appropriately and handle deliveries. • Performs various other duties as assigned by the Director.
Must be fluent in Spanish and English. Must be proficient computer skills and knowledge of Microsoft Office 365 applications and enjoy working in a fast-paced environment with heavy client contact. Has experience answering telephone calls and troubleshooting hectic situations. Prior experience in the immigration law field is strongly preferred but not required. One (1) year of experience as a receptionist, administrative assistant, guest service specialist, or similar position preferred.
