The Volunteer and AmeriCorps Coordinator recruits, trains, matches and provides ongoing support to adult literacy volunteers, AmeriCorps Members, and interns. Activities include staffing outreach and recruitment events in the community, conducting informational sessions for interested volunteers and AmeriCorps Members, managing all training and background screenings, and providing ongoing support. The Coordinator will also supervise the AmeriCorps program administration and AmeriCorps Member management such as training, placement, and compliance of Members with AmeriCorps requirements.
The Coordinator manages approximately 40-50 active volunteers per month as well as 10 AmeriCorps Members and 2-4 interns as well as lead recruiting efforts to increase the overall volunteer and AmeriCorps capacity. While reporting to the CEO, the Coordinator will work closely with the COO, Education Director and Student Services team to communicate student needs to volunteers, AmeriCorps Members, or interns; ensure updated student records, and make updates to the student database.
Essential duties and responsibilities
Responsibilities and Duties - Recruit, screen, train, place, monitor, and support volunteers and AmeriCorps Members. - Respond to volunteer inquiries within 24 hours. - Conduct twice monthly Information Sessions for potential volunteers. - Track pre-volunteering or AmeriCorps Service training, background screenings, and compliance requirements. -Lead new Tutor Training and Tutor Continuing Education Meetings and/or communicate training opportunities available through other partners. - Maintain compliance with all AmeriCorps policies and procedures for AmeriCorps Member placement and management including the application process, tracking of hours, training, outcome measurement, Member files and Member Service Agreements. - Maintain AmeriCorps Member files, timesheets, documentation and data for timely grant reporting. - Create and maintain AmeriCorps Member, volunteer, and intern service description. - Prepare and maintain procedural and training manuals for volunteers and AmeriCorps Members. - Interview, screen, and enroll AmeriCorps Members, volunteers, and interns. - Manage intern partnerships with local colleges and universities. - Collect, input, and track volunteer Monthly Progress Reports, and other volunteer info in the volunteer tracking system. - Create/manage posts on recruiting sites such as Volunteer Match, Volunteer Florida, United Way, Service Year, and local college or university volunteer/job portals. - Provides assistance to volunteers, interns and AmeriCorps Members on an as needed basis regarding activities for students, lesson planning, materials, and resolving issues or concerns. Ensures academic discussions are informed by input from the Education Director. - Provide monthly volunteer reports for review by the CEO and Board of Directors. - Records communication with students and tutors in the student database. Inputs assessments, student outcomes, and other information. - Make or provide content for social media posts regarding volunteer, AmeriCorps and internship opportunities. - Manage partnerships with other organizations where AmeriCorps Members are placed. - Maintain site agreements with organizations where AmeriCorps Members are placed and ensure they meet AmeriCorps compliance requirements. - Develop AmeriCorps service sites and coordinate service projects. - Provide onsite monitoring for all AmeriCorps Members and volunteers and conduct annual reviews of AmeriCorps Members. - Schedule and coordinate AmeriCorps Member and volunteer recognition, appreciation and team building events or activities. - Attend required AmeriCorps in person training and monthly conference calls. Be available to travel for meetings and conferences if needed (travel costs covered by the Literacy Alliance.) - Maintain good communication with Volunteer Florida and the AmeriCorps contract manager. - Keep current with volunteer coordination and AmeriCorps Management best practices through identification of relevant professional development opportunities. - Coordinate and participate in events to recruit volunteers, AmeriCorps Members, interns and potential students. - Coordinate the development of content among other staff for the quarterly newsletter. Solicit articles/stories, photos and work with marketing to create and produce the newsletter. - Assists with fundraisers, special events, and celebrations.
- Program, project, or volunteer coordination experience, preferably in a volunteer management and/or AmeriCorps management. - AmeriCorps alumni or experience preferred, but not required. Willingness to understand the entire AmeriCorps program and compliance requirements is a must. - Excellent oral and written communication skills; detail-oriented, good interpersonal skills, and able to manage multiple tasks/deadlines at once. - Ability to develop, organize and conduct training sessions and presentations to small groups. - Ability to work independently and proactively with minimal supervision. - Appreciation for and competency with Google Suite, Microsoft Office, database usage, and generally self-sufficient in use of technology. - Must have a valid driver license with reliable transportation and be available to work nights and weekends, including overnight travel. - Must be able to pass a background check.
Education and Experience
- Bachelor’s Degree in relevant field or equivalent experience in volunteer or AmeriCorps management.
