The MaliVai Washington Youth Foundation is seeking a Community Engagement & Development Assistant to provide overall support to the Community Engagement/Development Department. This is a newly developed position in a rapidly growing youth development organization that reports to the Director of Community Engagement & Development. The position will include extensive administrative work so flexibility, attention to detail, the ability to multi-task with a calm demeanor in a busy environment is required. A passion for helping children grow and willingness to interact with youth is a must.
This position is a full time hourly position and will require minimal evening and weekend work. Minimal approved overtime may be necessary during busy periods above 40 hours per week.
Essential duties and responsibilities
• Provide overall support for the Community Engagement & Development Department • Coordinate the donor/volunteer acknowledgement process: thank you notes, student thank you notes and calls, board letters/calls, etc. • Provide primary administrative support for Board of Directors: Meeting invites, board minutes, board dashboards, ordering food for in person meetings • Coordinate the administration of the donor, volunteer and email databases • Manage inventory for promotional materials and supply drives • Schedule and upload all social media • Supervise the mass mailing process 4-5 times per year • Provide collection and tracking of documents for promotional events (Birdies for Charity, Jaguars Raffle, Holiday Angels, sponsor mailings, gala auction) • Update website and photo logs as needed • Collect paperwork from staff and students as needed • General filing, copying, clerical as needed • Survey data preparation and input • If needed, serve as a substitute for front desk or school pickups • Attend meetings, trainings and workshops as required and for their professional development • Available to work 9-6pm and flex hours to work occasional Saturdays • Adhere to all policies and procedures • Additional responsibilities as assigned
• Commitment to youth development and the mission of MWYF • Ability to communicate both orally and in writing using proper English • Strong proficiency in Microsoft Outlook, Word & Excel • Adobe, Canvas or InDesign experience is a plus, but not required • Excellent interpersonal skills and ability to collaborate • Flexible and calm under pressure; excels at operating in a fast paced environment • High attention to detail; organized • • Physical Requirements: able to bend and lift up to 40lbs; while performing duties, employee is required regularly to sit, stand and walk as well as frequent computer work. Education and Experience
AA degree with experience or Bachelors degree preferred Willingness to complete required trainings during first 90 days of employment Must have a current Florida driver’s license and a 3 year clean driving record Meet DCF qualifications for Level 2 Background screening & pass a Drug Test
