Purpose of Position:
We are seeking a passionate and hands-on individual to fill the temporary role of MLK Day of Service Event Coordinator, funded through AmeriCorps. In this dynamic position, you will play a vital role in supporting participating partner agencies, troubleshooting planning issues, recruiting volunteers, coordinating logistics, and leading a team of volunteers on the day of the event. MLK Day of Service is an annual signature project of United Way with more than 500 participating volunteers in 3 counties.

Essential duties and responsibilities

Key Responsibilities and Essential Functions: Partner Agency Support: • Connect with participating partner agencies to understand their volunteer project needs. • Conduct on-site visits to troubleshoot planning issues and provide hands-on support. • Deliver necessary items and supplies to partner agencies. • Support trainings for partner agencies, internal staff and volunteers. Volunteer Recruitment and Leadership: • Recruit volunteers for partner agencies, ensuring a diverse and engaged group. • Lead and inspire volunteers, providing guidance and support throughout the planning and execution phases. • Develop and distribute supply lists for volunteers and partner agencies. Event Logistics: • Support the overall planning and execution of the MLK Day of Service event. • Collaborate with internal teams, external partners and vendors to coordinate logistics prior to and during the event. • Supports pre-work, set up of event, breakdown of event, debriefs, after-event communication and reporting • Play a key role in on-site operations during the event, addressing any issues that may arise and leading and supervising volunteers Follow-up Work: • Assist in post-event activities, including debrief sessions with partner agencies and internal staff • Collect feedback and insights to improve future events. • Contribute to the preparation of post-event reports. Volunteer and Community Engagement Department Support: • Report directly to the Director of Volunteer and Community Engagement. • Provide regular updates on any logistical or volunteer coordination activities. • Collaborate with the United Way of NEFL internal MLK team on any additional tasks related to the MLK Day of Service project. • Perform other such duties as may be assigned by the supervisory team • These job responsibilities are to be the main emphasis of this position. Education and Experience

Experience/Qualifications: • Previous experience in event coordination, volunteer management, or related roles. • Strong organizational, project management and problem-solving skills. • Excellent interpersonal and communication skills, both oral and written • Ability to lead and motivate volunteers in a positive, inclusive and collaborative manner. • Comfort with speaking in front of larger groups of people • High level of attention to detail • Demonstrated organizational and time management skills/abilities (i.e., having to establish, manage and meet deadlines). • Competency in Microsoft Office, i.e., Teams, Outlook, Word, Excel, Power Point, and in video conferencing tools. • Must be able to solve problems quickly and effectively. • Ability to work independently, selecting and applying appropriate reference tools/materials to complete the project/task. • Strong customer service skills; ability to establish excellent rapport with co-workers, general public, partners, volunteers and donors. • Curiosity, desire to learn and passionate about building a stronger community • Must have reliable transportation and a valid driver’s license • High School diploma/GED • A minimum of 1-2 years of experience in related field • Experience with Project Management of Event Planning Preferred • Proficiency in oral and written communication skills • Demonstrated proficiency in the use of computer equipment, phones, various software programs and resource file • Ability to work effectively under stress and maintain productivity and composure under pressure • Comfortable working in a fast-paced environment • Adapt readily to changes • Ability to use good judgment and assessment techniques • Ability to work with minimal supervision • Effectively prioritizes work and establishes clear goals in coordination with supervisor • Flexibility to work variable shifts within a hybrid, remote environment. • Overtime as assigned • Ability to pass and maintain a Level 2 background check is required. This is a security background investigation requiring submitting fingerprints to be screened through state law enforcement agencies and the FBI for national criminal history records • Must pass pre-employment drug screening • Staff members who drive a vehicle on UWNEFL business must provide proof of a valid driver’s license and current automobile insurance. • Keep all activities in line with the core values and contribute to the positive culture of United Way of NE Florida. • Actively participate in the broader organizational activities and be a brand steward within the community, outside agencies and/or programs to enhance United Way services to the community.
