The Administrative Specialist at MOCA is responsible for providing direct support for museum management reporting to the Deputy Director. Administrative Specialist at MOCA is responsible for providing the necessary support to ensure sound operational status on a day to day basis aligned with the Museum’s institutional needs, mission, vision, values, and strategic plan while ensuring a high level of integrity and confidentiality.This role assists with duties related to Museum Operations, Administration, Finance, Human Resources, and Special Projects lead by the Deputy Director. Acts on behalf of the Deputy Director as needed.
Essential duties and responsibilities
General Responsibilities: Provides support with daily responsibilities to maintain accurate and timely record keeping, document creation and retention, human resources activities including but not limited to recruitment, benefits support, payroll, and employee relations. Assists in maintaining human resources compliance acting as a liaison to UNF as needed. Performs daily responsibilities for recruiting and retaining top talent including but not limited to processing personnel action forms, updating and maintaining position descriptions, working in consultation with the Deputy Director on performance management and employee relations. Performs activities that support Museum risk management, liability, compliance, policies, practices, and procedures. Makes recommendations for improved organization, procedures, and policies. Provides support to help maintain the Museum’s facility management as needed or upon request. Assists with ensuring a high level of employee satisfaction and morale. Provides support as needed for all departments assisting with timely resolution of important issues.
Education and Experience
A Bachelor’s degree from a regionally accredited college or university in a directly related area of specialization; or a high school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience. Proven competencies in software applications and programs, particularly Microsoft Office Professional including Excel, Word, Publisher, Power Point, Access, and Outlook. Excellent word processing, database and file management skills. Excellent client service skills, and superior telephone manner. Excellent interpersonal skills, helpful friendly attitude. Must possess personal tact, discretion and good judgment. Excellent written and verbal communication skills. Detail-oriented with ability to prioritize assignments and workload within limited time frames; ability to handle a demanding workload with limited direct supervision. Good working knowledge of office equipment and procedures including computers, photocopiers, printers, fax machines, mailing equipment; telephone systems, filing systems.
