Summary
The Sr. Accounting Specialist position primarily assists the Chief Financial Officer with the financial responsibilities of the organization’s Housing, Human Services and Hope segments (“Segments”) of the business. This position works closely and supports in addition the Accountant II and Sr. Accountant roles for the Segments, and the overall finance staff.

Essential duties and responsibilities

Essential Duties and Responsibilities: includes the following, other duties may be assigned. 1. Provide oversight of the day-to-day functions of Accounts Payable/Receivable to ensure all invoices are processed and paid according to established procedures and policy. 2. Open the mail, sort & process the daily physical and ACH deposits for the Segments and record to the general ledger. 3. Maintain Accounts Payable/receivable vendor files and storage of records per retention policy. 4. Ensure compliance with grants and government grants and contracts, including their accuracy and timely submission, tracking, and reporting. Responsible for tracking and accounting for some Grants, Foundation Funding and overall Donations/Fundraising/ Pledge Receivables transactions. 5. Post deposits, general ledger detail, record journal entries and perform account reconciliations support for monthly book close. 6. Assist with annual audits. 7. Review, verify vendors’ invoices, check requests, approvals gl coding and set up for payment for the Segments. 8. Ensure tracking, entering into the Accounts Payable system and paying vendor invoices with the necessary interaction with vendors. 9. Maintains relationships with vendors, and issues vendor 1099’s annually. 10. Responsible for Misc Sales/Fee billings. 11. Record journal entries, account reconciliations and assist in gathering documentation for various grant submissions and for audits. 12. Custodian of petty cash. 13. Research best prices, ordering and stocking office supplies. 14. Assist in development and implementation of new procedures and features to enhance the workflow of the department. 15. Scan/file check backup, and update & maintain Accounts Payable check request worksheets in Excel. 16. Serve as a backup to Health Services Sr. Accounting Specialist. 17. Process with accuracy all accounts receivable transactions. Scan daily deposits to banks. 18. Provide recommendations to reduce costs and improve operational efficiency. 19. Work with the Chief Financial Officer and staff on to streamlining payment processes such as Expense Reimbursements, Insurance payments.

Qualifications

• Ability to pass a Level II Background Screening • College Degree; Accounting degree BS/BA preferred

Education and Experience

• 5 years previous experience • Knowledge of accounts payable, accounts receivables and general accounting procedures • Knowledge of relevant accounting software; Blackbaud experience a plus. • Proficient in data entry/management • Proficient in Microsoft Office (Excel, Word, etc.) • Excellent spelling, grammar, and ability to carefully proof own work • Good phone skills, organized, and ability to set priorities • Ability to manage crisis situations • Able to analyze and compile statistical data Physical/Mental Demands and Working Conditions • Personal vehicle and valid Florida driver’s license • Physically able to work in a fast paced, multitasked environment • Ability to travel locally to locations and occasional training sites Resident, Guest and Internal Customer Focus The Sr. Accounting Specialist is sensitive to emotional, spiritual and practical needs of resident, families, guests and staff members in all interactions.
