The historic Florida Theatre in downtown Jacksonville seeks a Special Events Coordinator for an anticipated vacancy in its fundraising department later this year. Reporting to the Development Director, the Special Event Coordinator is primarily responsible for helping to create and oversee the fundraising events and activities of the nonprofit Florida Theatre, including the Florida Theatre Ball; Blues, Brews, Bourbon and BBQ; the New Year’s Eve Ticket Raffle; the Holiday Movie; donor cultivation events; and other activities. Nights and weekends are required. A bachelor’s degree in Event Management or a related field or the equivalent experience, plus a minimum of three years of demonstrable success in fund development or event management is required. Compensation range is $40,000 to $60,000 depending on experience; plus health, dental and life insurance 100% paid for the employee; 4% employer retirement match; paid parental leave; and a sabbatical leave after 5 years. Essential duties and responsibilities

The Special Events Coordinator is primarily responsible for helping to create and oversee the fundraising events and activities of the Florida Theatre, including the Florida Theatre Ball; Blues, Brews, Bourbon and BBQ; the New Year’s Eve Ticket Raffle; the Holiday Movie; donor cultivation events; and other activities. Essential Duties and Responsibilities · Coordinate the components of the Florida Theatre’s benefit events, including but not limited to decor, catering, silent and live auctions, entertainment, transportation, location, invitation list, special guests, equipment, promotional material, licensing and permitting. · Work closely with Florida Theatre staff on details that can be fulfilled in-house, and arrange external staffing or vendor service for additional needs that cannot be fulfilled in-house. · Gather information, collect competitive bids, and negotiate contracts. · Assist Director of Development in ensuring compliance with insurance, legal, health and safety obligations at all events. · “Stage Manage” events to make sure they begin on time; that presentations, speeches, auctions and the like happen on schedule; and hosts, speakers, auctioneers and performers get where they need to go on time. · Anticipate and proactively handle emergent issues. · Assist Director of Development in monitoring income and expenses to ensure that income goals are achieved and expense budgets are not exceeded. File detailed post-event income and expense reports. · Work closely with the development and marketing staff to promote fundraising events and activities.

Qualifications

· Minimum of three years of demonstrable success in fund development or event management.

Education and Experience

Education and Experience Requirements · Bachelor’s degree in Event Management or a related field. · Excellent time management and communication skills. Knowledge/Skills/Abilities: · Software - Hands-on experience with Microsoft Office Suite (expert level with Excel). · Strong verbal and written communication skills. · High degree of accuracy and attention to detail. · Software - Experience with event ticketing and fundraising software are preferred. · Software – proficient level knowledge of Microsoft Office software applications. · Leadership – Can translate strategy into specific deliverables. · Leadership – Can manage and capitalize on multiple and simultaneous opportunities. · Results – Able to set and exceed goals. · Team Orientation - Able to develop and maintain collaborative relationships at all levels. · Communication – Able to persuasively express self verbally and in writing, using correct language, grammar and punctuation, in a professional, diplomatic and empathetic manner. · Problem Solving – Can research, analyze and identify viable options; consider risk, short-term and long-term impact; and draw sound conclusions. · Decision Making – Can present findings and make thoughtful recommendations. · Time Management – Can organize a professional schedule to achieve strategic goals within or ahead of established time frames.

$40,000-$60,000
