The Medical Office Manager/Medical Assistant, working in conjunction with the Medical Director and Chief Operating Officer, serves as the interdisciplinary link between the patients, volunteers and staff. The position will take ownership of clinic operations and will have primary responsibility of scheduling patients, recruiting patients, leading others and requires the ability to deal with each situation, individually and collectively. The Medical Office Manager/Medical Assistant must be able to perform all tasks related to the clinical set-up, referrals, medical records, screeners, medical supplies, plus assist in clinical positions or other office functions as needed.

Essential duties and responsibilities

Manages the provider and patient schedule. Ensures that all providers are in the system Reviews schedule on a regular basis to identify issues. Communicates these issues and works with appropriate personnel to resolve Coordinates contacting the patients when schedule changes occur Support the front office and medical records personnel All patient related questions Assist volunteers with computer / system issues Ensures consistency and high quality of patient care, monitors office and medical records volunteers for the individual performance of all tasks and procedures Maintain written procedures related to medical records, front office, and clinical support. Maintain an organized office flow and work with all staff and volunteers to educate them on all of the proper procedures. Prepare the front office environment daily to ensure that the volunteers have all of the information they need: Today’s schedule Monthly provider schedule Verifies all charts, appropriate forms and lab work are available for scheduled appointments. Meet with Director of Volunteers, Chief Operating Officer and Medical Director to ensure daily needs are met for medical and non-medical volunteers Other preparation as needed Electronic Medical Record Management and support Ensure that all Radiology Reports are attached to the correct patient record Ensure that all Labs are attached to correct patient record Ensure any other documentation is filed in the record correctly Support all volunteers in their use of the Electronic Medical Record Perform tasks as directed by Medical and Clinical Coordinator Call patient prescriptions Responsible for pick-up of appropriate laboratory specimens. Handle Patient medical questions and concerns Serve as liaison between practitioners and patients, ensuring that the patient understands everything the practitioner or nurse has said before leaving the Clinic. Other tasks as directed Referral Coordination Coordinate We Care referrals (both to and from) Coordinate referrals with other physician offices Coordinate referrals from Women’s Center Coordinate referrals with all other partner agencies Handle any patient billing issues that arise General Clinic Coordination Handle general voice mail box Switch between Day and Night service on the phone system Ensure that all supplies are ordered and documented appropriately Handle other tasks as appropriate Coordinate Patient Assistance Programs Fill out documentation necessary for patient assistance including preparing the prescriptions if required Work with patients to ensure paperwork is filled out correctly Handle any issues that arise Medical Assistance Duties as required Train nurses on the procedures Perform Medical Assistant tasks such as intake, EKGs, etc. when needed Support volunteer nurses with their tasks as needed Maintain a good relationship with all staff practitioners, volunteers, patients and the outside community Ensure the integrity of patient confidentiality is maintained at all times. Utilize solid organizational and time management skills in coordinating multiple projects. Receive outside donations Calculate retail value of meds and DME Prepare Donor- in-kind donation forms and totals Chart Maintenance Reduction of large charts as needed Proper organization of notes, labs and tests Repair charts as needed


Position requires Medical Assistant Certification and experience in serving as Interdisciplinary link between administration, front and back office, providers, patients and volunteers. This is a full time position. Candidates must be able to work day shifts Tuesday through Saturday. Includes benefits and vacation days off.

Education and Experience

· Strong interpersonal skills with ability to work effectively within a team concept. · Multi-tasking ability is a must. · Medical Assistant Certification Required. · Excellent communication skills (oral, written and non-verbal) are necessary. · Microsoft Office Products and general computer skills required. · Problem solving skills needed to deal with situations that may arise between patients, volunteers, and providers.
