Description
The Director of Administration is responsible for the overall administration, coordination, and support of the organization. This includes oversight of recruitment, compensation, benefits, training and development, labor relations, budgeting, and safety and security protocols. The Director will process all new hire paperwork, conduct staff orientation, and onboarding, and allocate office space. In addition, the Director will serve on the Women’s Center Properties Board, and maintain the appearance, repairs, and safety of the facility through structures vendor recruitment. The Director will also implement and maintain all personnel policies and procedures and safety manuals to ensure local, state, and federal compliance. The Director will provide oversight of all vendors, including payroll and technology.
Essential duties and responsibilities
1. Annually review and make recommendations to leadership for the improvement of the organization’s policies, procedures, and practices on personnel, operations and safety matters. 2. Maintain knowledge of industry trends and employment legislation and ensure the organization’s compliance. 3. Communicate changes in the organization’s personnel, operations and safety policies and procedures and ensure that proper compliance is followed. 4. Assist the Executive Director in the annual review, preparation, and administration of the organization's wage and salary structure. 5. Work directly with department leadership to assist them in carrying out their responsibilities on personnel matters. 6. Recommend, evaluates and participate in staff training and development for the organization. 7. Administer health plans, conduct open enrollment, and process enrollments, and terminations. Ensure accurate record keeping and proper deductions. Serve as the COBRA administrator. 8. Conduct new-employee orientations to ensure employees gain an understanding of benefits and enrolment provisions. 9. Ensure accurate processing of payroll functions for the organization, by supporting individual assigned to payroll and acting as back-up in the absence of person responsible 10. Review billings for accuracy. Resolve discrepancies with carriers, prior to submission for payment 11. Work with Executive Director to ensure the annual renewal of all insurance plans related to the organization and its employees are within acceptable ranges. 12. Ensure compliance with all state and federal HR laws, update changes to the employee manual and notify all staff. Ensure updated postings of all required information. 13. Train and update staff on safety and emergency preparedness policies and procedures. 14. Processes annual renewal forms for all permits, licenses, applicable certifications and insurance policies. 15. Research and obtain bids from other insurance carriers when needed. 16. Acts as liaison with vendors, contractors, and suppliers on all building maintenance, repairs and renovations. Obtain necessary quotes for review selection 17. Serves as the liaison for IT vendors, including chairing Technology Committee. 18. Responsible for deployment of all hardware to staff, and ensuring asset documentation and tracking, including necessary maintenance. 19. Ensure there is coverage for the front desk (answering incoming calls, greeting all visitors/clients, client scheduling, and crisis response). Participates in committees and special projects as needed. 20. Supervise employees on the team 21. Other duties assigned by Executive Director.
Qualifications
The position requires experience in operations/facilities management, finance, staff, and volunteer supervision, budget management, building management, human resources, and health benefits management. Knowledge of Microsoft Office programs and data systems.
Education and Experience
The position requires a Bachelor’s degree and 2 years of experience in business/administrative operations.
Salary/Salary Range
$55,000 - $65,000
