Description
The Technology and Office Assistant is an invaluable asset to the Executive Director and direct provider staff and will be responsible for a wide range of important duties. This is a full-time, 37.5 hours per week, salaried position, plus benefits which currently include: Health Reimbursement Account (HRA), paid holidays and Paid Time Off. The schedule is Monday thru Friday, 9:00 AM – 4:30 PM and there is no remote work component for this position.
Salary range is $41,000 – $47,000 with a 90-day probationary period.
Minimum Requirements: HS diploma required; some college preferred. Must be proficient in Office365, Word, Excel, PowerPoint and have a working knowledge of website maintenance. Experience with Mailchimp or Constant Contact preferred. Other duties as needed.
Essential duties and responsibilities
• Technologically savvy and able to provide IT support. Can operate and fix minor printer issues, troubleshoot issues with staff’s phones and laptops, use Avery to print stamps, table tents, etc. • Receptionist and writing skills, able to take board minutes and preferably have experience with grant writing or ability to learn the process. • Proficiency with Microsoft 365 applications (Outlook, OneDrive, Excel, PowerPoint) and also Adobe Acrobat. • Can edit or create PowerPoint presentations and Excel spreadsheets and use formulas to generate the necessary data in tables. • Experience with or ability to learn graphic design, using Canva, to create brochures, pamphlets, etc. Can create newsletters and manage website/social media accounts, and GiveButter (or a similar alternative) to create campaigns and collect donations. Familiarity with or ability to learn SurveyMonkey, and knowledge of how to create static QR codes. • Can file invoices and fulfill HR duties; prepare onboarding packets for new hires and file all certificates/necessary paperwork. Order badges, business cards, install printer on new devices, and ensure there are enough office keys for staff. • Order all necessary supplies for clients and for the office and keep stock of inventory. • Event planning experience a plus. Understands how to create itineraries, advertise, and effectively execute logistics for large scale events. • Can collaborate with staff and board members for various events throughout the year. • Checks mailbox/P.O. box and mails all correspondence, including 10-day letters to clients, noting each letter sent in E-PASS (online case management system.) Sends and tracks all certified mail receipts. • Can utilize E-PASS to download csv files and pull requested data when necessary. • Track client satisfaction surveys, children’s books, and other concrete support items in Excel spreadsheets, and upload distributed items to clients in E-PASS. • Other duties as may be required to assist the agency operate effectively.
Qualifications
This is a Monday thru Friday, 9:00 AM - 4:30 PM position, in office, no remote option available.
Education and Experience
High school required, some college preferred. Must pass a background screening per DCF contract requirements, have reliable transportation and proof of auto insurance. Preference given to individuals with at least two years administrative assistance experience, above average computer skills and ability to update website.
