Description
The Monique Burr Foundation for Children (MBF) is seeking contracted, remote, non-profit accounting and bookkeeping support services. Functions and duties to be fulfilled are itemized below. In general, the contractor will be responsible for maintaining accurate digital accounting records. The contractor will be asked to assist in recording transactions, providing periodic reports, and closing out month-end.
In addition to the essential duties below, the contractor will be expected to support the development of effective and efficient processes for non-profit accounting and finance priorities. It will be necessary for the contractor to identify and support the implementation of improved accounting processes, structures, and workflows in existing systems (such as QuickBooks Online and Bill.com), as well as to identify and suggest new, improved systems to support growth, scalability, and financial reporting accuracy.
Essential duties and responsibilities
Accounts receivable: a. Maintain organized records of all deposits, credit card, and ACH receivables in MBF’s digital workspace. b. Categorize and post all receivables. Match payments received to outstanding invoices in the online accounting system (QuickBooks Online). c. Prepare and post weekly deposits. Collaborate with MBF staff to coordinate the remote deposit of checks and adhere to internal control procedures for deposits. d. Prepare and send invoices. Follow up with customers regarding overdue or outstanding balances. e. Prepare and distribute weekly A/R aging detail reports to staff. Accounts payable: a. Maintain digital records of all bills, credit card expenses, and reimbursable employee expenses. Work with MBF staff to collect and categorize bills, receipts, and reimbursable employee expenses using an online accounts payable system (Bill.com) and an expense-tracking system (Emburse Spend). b. Submit all bills for approval before payment processing via Bill.com. c. Reconcile the monthly purchase-card statement to all receipts received from staff and follow up with staff to collect any missing receipts using the expense-tracking system (Emburse Spend). d. Maintain all accounts payable financial information in the accounting system (QuickBooks Online). Budget management: a. Support the VP, Finance & Operations, in the management of the operating budget, and sub-budgets for grants and other funds, including running YTD and projections reports for the current fiscal year or grant year. Grant financial management: a. Collect copies of all bills and proof of payment for grant fund expenditures each month, categorize documentation to the correct budget expense line, and support the VP, Finance & Operations, in creating monthly grant expenditure reports for multiple grants. b. Support the ongoing maintenance and updates required for the accounting classification system in QuickBooks Online to accurately classify and report income and expenditures by grant. c. Support the preparation of monthly grant spend-down reports. d. Collect monthly timesheets from staff and allocate bi-weekly payroll based on staff time across multiple grants and funds. Systems and Processes Improvement: a. Internal Controls: Maintain internal control procedures as directed by the VP of Finance & Operations and the CEO. b. Support continuous accounting system improvements, working with the VP, Finance & Operations, and outside consultants. Planned improvements currently include integrating the accounting system with CRM (Salesforce), improving inventory cost management, and upgrading the purchase order system. Vendor Records: Maintain accurate vendor records, including contact information and completed W-9 forms. Prepare annual submission of 1099s. Monthly Reconciliations: Complete monthly reconciliations of bank, credit card, and investment accounts. Equipment: Maintain records of equipment acquisition, disposal, and depreciation schedules. Audit: Assist the VP, Finance & Operations, through the annual audit process, including the collection of documentation requested under any audit.
Qualifications
• Minimum 3+ years of nonprofit accounting experience. • Minimum 5+ years of bookkeeping and accounting experience. • Advanced proficiency in the use of Microsoft Excel. • Preferred experience with QuickBooks Online and Bill.com. • Ability to use or learn: Google Workspace, Stripe Admin Panel, Emburse Spend. • Ability to handle sensitive information and behave with diplomacy. • Excellent organizational and time management skills with ability to prioritize and effectively handle multiple priorities. • Must possess a professional presence and demeanor. • Must possess excellent written and oral communications skills.
