Beaches Emergency Assistance Ministry (BEAM) is a nonprofit agency committed to supporting residents and workers of the Jacksonville Beaches community by providing essential services including food, housing assistance, financial support, and other basic needs. We are a trusted resource for individuals and families in crisis, empowering them with the tools and support necessary for stability and hope.

The Accounting and Administrative Specialist supports the organization’s financial operations and fundraising efforts by contributing to day-to-day finance functions and ensuring accurate, timely gift processing. This role works closely with our Chief Financial Officer and Chief Development Officer to maintain strong internal controls, donor records, and financial reporting in support of the organization’s mission.

Essential duties and responsibilities

• Process accounts payable transactions, including invoice review, coding, approvals, and payment preparation • Maintain vendor records and respond to vendor inquiries • Reconcile accounts payable and related general ledger accounts • Process donations into accounting database • Assist with monthly and year-end financial close processes • Ensure compliance with internal financial controls and nonprofit accounting standards • Support audits by preparing documentation and responding to requests • Accurately process and record donations from multiple sources (checks, online gifts, grants, events, etc.) • Coordinate with the Development team to ensure gifts are recorded in accordance with donor intent • Prepare and send donor correspondence acknowledging gifts, as well as tax statements and annual donor appeal • Assist with gift reconciliation between development systems and accounting records • Assist with reporting requests as needed • Assist as needed to ensure smooth functioning of donor events • Contribute to process improvements related to gift processing, documentation, and financial workflows • Provide other general administrative and operational support as needed

Education and Experience

• Commitment to BEAM’s mission to provide emergency assistance and a path to economic stability • Ability to build positive relationships with a wide variety of stakeholders • Associate’s or Bachelor’s degree in Accounting, Finance, Business Admin or related field • 2+ years prior accounting or administrative support experience • Strong organizational and computer skills • Excellent verbal and written communication skills • Proficiency in Microsoft Office Suite • Detail-oriented with strong problem-solving abilities • Self-motivated and trustworthy • Ability to organize and prioritize work, and to work independently with little supervision • Handle confidential information with utmost discretion and professionalism • Able to collaborate with team members to ensure deadlines or project milestones are met • Be prepared to handle daily unforeseen tasks and challenges

Salary/Salary Range

$ 22.00 - $ 24.00 / hour
