Description
The Grant Billing Specialist supports the Grant Billing Team by preparing and organizing required billing documentation for federal, state, and local grants. This position focuses on invoice backup compilation, redaction, packet assembly support, and ensuring documentation is complete and compliant prior to submission.
This position is task-focused and does not review or approve final billing packets but contributes directly to timely and accurate reimbursement submissions.
Essential duties and responsibilities
Billing Packet Preparation & Documentation Support • Use grant tracking tools and Excel spreadsheets to identify required backup for billing invoices • Organize, label, and compile supporting documentation for grantor billing packets • Assist with preparing invoice packets under the direction of the Team Lead, Senior Analyst, or Analyst • Perform document redaction in accordance with grantor requirements and confidentiality standards Quality Control & Administrative Accuracy • Validate documentation is legible, complete, and correctly matched to expense lines • Flag missing items or inconsistencies to appropriate team members for resolution • Maintain clean, organized file structures (electronic folders, packet naming conventions, and documentation logs) Compliance Awareness & Professional Development • Stay informed about updates to grant compliance requirements through trainings and internal updates • Follow established SOPs, checklists, and documentation requirements Professional Standards • Meet deadlines and maintain consistent productivity in a fast-paced environment • Communicate clearly and professionally with internal team members regarding missing documentation or packet needs • Other duties as assigned
Qualifications
• Proficiency in Excel, Word, and Microsoft Office tools. • Strong attention to detail with ability to organize large volumes of documentation. • Ability to meet deadlines and manage multiple priorities. • Strong interpersonal and organizational skills. • Ability to classify, prioritize, and identify problematic documentation issues. • Ability to maintain confidentiality and compliance standards. • Periods of walking, standing, or sitting in an office or field environment for service provision • Limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds • Ability to operate a motor vehicle Employment Disclaimer Employment with Changing Homelessness, Inc. is contingent upon meeting applicable eligibility and compliance requirements following a conditional offer of employment. Education and Experience
• Educational background can be diverse; however, a degree in a related field or a minimum of two (2) years of relevant work experience preferred • Experience working or volunteering in nonprofit or government settings addressing housing or other social services preferred • Lived experience with homelessness preferred • Veterans and/or experience working with Veterans preferred
Salary/Salary Range
$38,000 - $47,000
