Job Summary
The Compliance & Personnel Coordinator plays a critical role in ensuring the organization operates efficiently, ethically, and in full compliance with all regulatory and funding requirements. Reporting directly to the Director of Business Operations, with oversight by the COO, this position oversees key compliance functions, supports human resources and personnel processes, and helps maintain accurate records and systems that support staff and program operations. The ideal candidate is highly organized, detail-oriented, proactive and able to manage multiple priorities while contributing to a positive, mission-driven team environment.

Essential duties and responsibilities

Compliance & Organizational Operations: • Champion a culture of accountability by ensuring all mandated employee trainings are completed on time and remain up to date. • Support the organization’s commitment to excellence by monitoring compliance with all grant requirements and reporting deadlines • Serve as a liaison with DCF licensing representatives, including coordinating inspections and maintaining readiness. • Oversee compliance related to organizational transportation, including van requirements (alarms, documentation, safety equipment, etc.). • Coordinate and document monthly fire drills, ensuring proper logs and postings are maintained. • Ensure all required employment law posters are current and displayed at all program sites. • Oversee compliance and reporting for the School Year and Summer Meal Programs, including monthly reporting. • Ensure all business registrations, licenses, and permits are maintained and renewed annually. • Coordinate and track required building and vehicle inspections. • Support annual audit preparation by compiling non-confidential financial documentation as requested. • Provide additional administrative support as directed by the COO to uphold organizational compliance and operational effectiveness. Personnel & Human Resources Administration *• Help build a strong, mission-aligned team by posting open positions, screening candidates, and supporting the hiring process for part-time staff. • Serve as a welcoming first point of contact for candidates by conducting initial interviews and coordinating next steps with hiring managers. • Assist in scheduling and coordinating interviews and hiring logistics. • Develop and distribute monthly staff schedules. • Coordinate and support internship and work-study partnerships, including communication with college programs and candidate referrals. • Facilitate employee onboarding, including scheduling background checks, drug screenings, and required clearances (e.g., driver physicals). • Manage the distribution, collection, and tracking of all onboarding and annual employment documentation to ensure accuracy and timeliness. • Distribute and collect benefits-related paperwork (health insurance, wellness programs, SRA) as applicable. • Track employee PTO usage and maintain accurate records. • Monitor and track timecard calculations for designated roles (e.g., interns, contractors, specialty staff). • Track and document student service hours for scholarship eligibility. • Oversee staff uniform inventory, including submitting order requests and distribution Employee Engagement & Culture • At the direction of leadership, support the planning and coordination of staff engagement initiatives, events, and recognition efforts. • Help foster a positive, inclusive, and mission-driven workplace culture that promotes staff connection, morale, and retention. • Assist with internal communication efforts to ensure staff feel informed, aligned, and connected to organizational goals. • Partner with leadership to support team-building opportunities and staff appreciation efforts. Qualifications

• Ability to pass a Level 2 background screening and drug test. • Valid Florida Driver’s License with an acceptable driving record. • Ability to drive a company van for student transportation as assigned (school pick-ups, drop-offs, and field trips). • Ability to lift up to 40 lbs. and work both indoors and outdoors, including extended periods of standing or sitting. • Willingness to work a flexible schedule, including evenings and weekends as needed. (General schedule is M-F 9:00-6:00, weekends or evenings as assigned based on special events) • Ability to complete all required trainings within established timelines.

Education and Experience

• Bachelor’s degree preferred, or Associate’s degree with at least 2 years of relevant experience. • Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines. • High level of attention to detail, particularly with data entry, recordkeeping, and compliance tracking. • Strong interpersonal and communication skills, with the ability to build positive relationships across teams. • Demonstrated integrity, professionalism, and a strong work ethic. • Ability to adapt to changing priorities in a fast-paced environment. • Proficiency in Microsoft Office Suite.

Salary/Salary Range

Non-exempt position, salary commensurate with experience, $45,000-$48,000 annually
