Operations Manager, Mandarin Museum & Historical Society
Status: Full-time

Reports to: Executive Director

Mandarin Museum & Historical Society is a private nonprofit whose mission is to share the stories of Mandarin’s history, culture, and natural resources. Located in the City of Jacksonville’s Walter Jones Historical Park, Mandarin Museum enjoys a longterm partnership with the City through which we “breathe life into the park.”

Under general supervision, Mandarin Museum’s Operations Manager supports the Museum’s mission by managing the daily operations of the museum and historical park, including management of the volunteer and education programs, and operation of the museum shop and tours. This role also serves as a key staff member in the staging of special events.

Essential duties and responsibilities

Operational Support • General Museum Operations o Execute all museum/park/historic building opening and closing procedures o Perform or coordinate routine maintenance to systems as needed (e.g. changing a light bulb, etc.) o Communicate clearly and professionally with the public in person and by phone and email o Assist in scheduling and executing field trips and group tours according to established procedures o Monitor museum shop inventory, ensure accurate point-of-sale operation and accounting, provide close-out reports at the end of each day • Special Events o Effectively manage participant registration for Mandarin Frog Paintings, facilitate the event as needed o Participate as a member of the Winter Celebration event committee Coordinate all aspects of the Museum’s Volunteer Staff - ensure the museum maintains a strong and appropriately sized corps of friendly, reliable, knowledgeable, and well-trained volunteers to execute museum operations. • Recruiting o Schedule and execute quarterly Volunteer Interest Meetings as needed, communicate details with director for advertising, follow-up with attendees by email to gauge continued interest o Ensure up-to-date volunteer applications are available at guest services and online • Onboarding o Carefully review incoming volunteer applications to match applicant skills/areas of interest with museum needs o Schedule training and shadowing dates, coordinating with the appropriate facilitators’ schedules o Provide up-to-date orientation materials o Monitor new volunteer orientation/training progress, implement continued training as needed • Record Maintenance o Ensure all volunteers’ individual records are accurate and current in all communication and tracking tools • Scheduling o Understand operational, event, tour, and field trip volunteer needs and solicit volunteers accordingly o Maintain an accurate volunteer schedule o Clearly communicate volunteer schedule and available opportunities to volunteers (including special events, tours, and field trips) in volunteer newsletter and as needed by phone and email o Solicit and schedule substitutes in the event of volunteer absence o Understand volunteers’ respective strengths and weaknesses to ensure a strong and well-functioning schedule • Conflict Resolution o Ensure volunteers are contributing to a positive working environment for all, and a positive guest experience o Ensure volunteers adhere to museum policies, procedures, and programming goals • Volunteer Appreciation o Assist in the planning/execution of annual luncheon o Assist in the planning/execution of quarterly volunteer field trips o Send birthday, holiday, get well cards, etc. as appropriate o Maintain and express authentic gratitude for volunteers Education Programs • Children’s Programming o Work with Executive Director and Education Committee to implement all educational programs of the Museum including curriculum-based activities, school group tours, children’s activities for daily visitors, and docent training. • Assist with installation and maintenance of museum exhibits Other duties as assigned

Qualifications

Excellent and professional communication skills, oral and written, both in person and remote Adept at relationship building and prioritizing a positive visitor experience Digital literacy with proficiency in Microsoft Office, Google products, email systems, social media platforms, and the ability to learn museum-specific software Knowledge of simple accounting and/or bookkeeping principles or enough familiarity with simple accounting principles to learn the process Ability to function with minimal supervision, plan and prioritize work. Demonstrated attention to detail Must be able to lift and carry special event and exhibition furniture weighing up to 30 lbs Must be authorized to work in the United States Must be able to work in a smoke-free setting in accordance with the City of Jacksonville’s Smoke-Free Parks Ordinance (ordinance includes the prohibition of e-cigarettes, vape pens, and all other smoking devices) Must be able to pass a background check Ability to work Tuesday-Friday, 9:00 am – 4:30 pm, and two floating Saturdays per month, occasional evening or Sunday hours coinciding with museum events Anticipated start date early August 2025, must be available for a first and second interview in July 2025

Education and Experience

BA in museum studies, history, art history, or business, marketing, public administration with an interest in history or art history, or the equivalent experience in a non-profit environment. Experience in a museum or non-profit setting, whether paid or unpaid, preferred but not required

Salary/Salary Range

$42,000-$45,000
