The Volunteer Coordinator plays a vital role in advancing the Jay Fund’s mission by building and sustaining a strong, engaged volunteer community. This position oversees the full volunteer lifecycle- including recruitment, training, scheduling, recognition, and retention-for a wide range of activities, from signature fundraising events to family support programs. The ideal candidate thrives in fast-paced environments, excels at building relationships, and brings both strategic thinking and hands-on leadership to every interaction. By fostering meaningful connections between volunteers and the Jay Fund’s mission, this role directly supports our ability to serve families tackling childhood cancer.
This is a full-time position. This position will be based at the Jay Fund’s Jacksonville office.
Essential duties and responsibilities
• Fields inquiries from prospective volunteers and manages their placement and utilization. • Maintains the volunteer database and an inventory of volunteer needs for events with assistance from the internal staff, matching skills and abilities to event needs. • Build and maintain relationships with the Jay Fund’s corporate partners and community partners, ensuring quality use of volunteer groups from these groups. • Manages the Jay Fund’s Ambassador program, ensuring quality use of members for high-level volunteer projects (Impact Player Events, Signature Fundraising and Program events, etc.). • Coordinates volunteer needs for special events, including on-site and program logistics, and volunteer training and participation. • Communicates routinely with volunteers via phone, email, text, and in-person meetings. • Surveys volunteers as needed to get feedback on the success of volunteers’ experience at events. • Tracks and reports on volunteer activities and hours contributed. • Send letters of appreciation, service hours provided, and general correspondence to volunteers. • Acts as the on-site volunteer supervisor for events. • Attend monthly staff meetings to facilitate the exchange of information. • Collaborates with the Director of Community Engagement to find ways to recognize and appreciate volunteers annually. • Performs other duties as assigned.
Qualifications
• A self-starter who takes initiative and effectively manages priorities. • Excellent problem-solving skills and strong attention to detail. • Strong communication and project management skills. • Strong interpersonal skills and internal communication skills to understand needs and skills required for volunteer recruitment and placement. • Strong skills and familiarity with Microsoft Office products, especially Word, Excel, PowerPoint, and Outlook. • Experience using Donor Software; Raiser’s Edge NXT experience a plus • Must be able to work a flexible schedule to include some nights and weekends, plus occasional travel to our NY/NJ market. Physical requirements include sitting/standing for extended periods | repetitive motion | extended periods viewing computer screens and/or mobile phone screens| reading | speaking | hearing | walking | lifting/carrying up to 50 pounds various items
Education and Experience
• 2+ years of experience in volunteer management in a non-profit or related field. • Associate’s Degree in Business Administration or related field.
Salary/Salary Range
Compensation is expected to fall between $48,000 and $53,000, based on skills, experience, and organizational fit.
