The Human Resources Generalist Office Manager maintains a welcoming atmosphere in the office for staff and guests, ensuring high levels of office organization, effectiveness and safety, provides light administrative support for the President/CEO, with the majority of the position having a high concentration on transactional administrative activities for Human Resources. This position is responsible for opening and closing coverage M-F, 9am-5pm.

Essential duties and responsibilities

Human Resources Recruitment, Hiring, Learning & Development, Benefits Assists in preparing and coordinating all position posting (employee, intern, fellow and volunteers) materials Monitors job application responses and communicates with applicants as requested by the COO Coordinates scheduling of interviews with appropriate panel participants Assists the COO with conducting new hire orientation and onboarding Assists the COO and Operations Manager in assessing, establishing and mitigating the agency’s risk management and quality assurance and improvement standards in accordance with agency, local, state, federal and contract Collaboratively with the COO, works closely with the Operations Manager in developing, implementing and training staff for a comprehensive staff training program, focused on compliance and professional development. Complete employee verifications as requested. Assist COO in process and procedure improvement projects as requested. Employee Relations and Culture Acts as facilitator, secretary and liaison between Diversity, Equity and Inclusion committee and Events Committee to Leadership. Responsible for implementing and overseeing all employee engagement initiatives to include professional development, culture enhancing, morale boosting, and team bonding activities. Communicate employee concerns and feedback to COO and CEO to assist in creating and maintaining an environment conducive to and upholding of the agency values. Office Management Opening the agency office at 9:00am for operations to begin, helping to maintain coverage for the office throughout the day and providing closing to the office hours at 5:00pm. Responsible for managing DBWPC’s main phone line during business hours and direct calls or take messages as appropriate. Greet visitors to DBWPC by welcoming them to the office, inquiring as to the nature of the visit, contacting the appropriate staff person, and guiding the visitor to the appropriate space. Set up and maintain automated phone messages and/or menus that will respond to phone calls when the office is closed. Monitors general office supplies and postage, providing a list of needed supplies to the Staff Accountant Organize and maintain the office environment. Assists in general Microsoft Teams/SharePoint organization and maintenance. Responsible for managing incoming correspondences (mail, faxes, emails, phone messages, etc.) and direct to the appropriate person for follow up. Sends outgoing correspondences, including faxes, letters, publication materials etc. Performs additional duties as assigned Executive Support Assists President/CEO in managing their schedule, meetings and task list, communicating with internal and external constituents as requested. Assists in responding to inquiries on President/CEO’s behalf, including those of a highly sensitive and confidential nature. Qualifications

Excellent Writing and Grammar/editing skills, communicating effectively as appropriate for the needs of the audience Professional attitude, demeanor and appearance Keen attention to detail Proficient use of Microsoft Office 365 Suite (Word, Excel, SharePoint, Outlook. PowerPoint) Experience in or proficient in using web based communication solutions (e.g, Zoom, Teams, webinar platforms) Managing one's own time and the time of others Flexible and adept to fast-paced, changing environments Execute quality documents, projects etc. on tight deadlines Handle multiple tasks simultaneously Give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times Effectively adjust actions in relation to others' actions Understand the implications of new information for both current and future problem-solving and decision-making Monitor/Assess performance of oneself, other individuals, or organization to make improvements or take corrective action Listen to and understand information and ideas presented through spoken words and sentences Concentrate on a task over a period of time without being distracted Combine pieces of information to form general routines and conclusions Understand importance of and maintain confidentiality with HIPAA protected information as well as, discern sensitive/confidential information learned through daily tasks

Education and Experience

Required Education and Experience 2 years’ Human Resource Assistant work experience 1 year Executive or Executive level administrative experience Preferred Education and Experience Human Resource Assistant experience in nonprofit office environment Executive Assistant experience in nonprofit office environment

Salary/Salary Range

$60,000-$65,000
