Summary:
The Dream Coordinator brings hope and joy to local children with life-threatening medical conditions by delivering personalized once in a lifetime Dreams and ensures their Dreamers receive every Special Time possible to support the Dreamer and their family through their entire medical journey. The Dream Coordinator works closely with the Dream Team to develop relationships with the families and deliver dreams beyond the dreamer’s wildest imagination. This position requires managing difficult situations, building great relationships and managing numerous very detailed projects on critical timelines. The ability to work well on a team and continually communicate with families, dreamers (children) and other staff is key.

The work is typically performed in an office environment, with a moderate noise level. Travel to other locations in the community is required, including the hospital and medical partner facilities. Rare travel outside of our NE FL service area may be required. The work is performed during regular office hours, but flexibility to work outside of those hours on evenings and weekends is required.

• Movements including but not limited to prolonged periods of sitting at a desk and working on the computer, standing, walking, bending, and reaching are required.

• Ability to work nights and weekends occasionally depending on organizational needs.
• Must be able to lift up to 15 pounds.

Essential duties and responsibilities

Essential Duties and Responsibilities: • Work with each child to identify his or her one true Dream. • Manage an individual caseload of Dreams and ensure the Dreams proceed in a timely manner. For travel Dreams, responsible for: transportation, accommodations and services, medical equipment, liability forms, itineraries, and any other details necessary for the proper execution of the Dream. For non-travel Dreams, responsible for: purchasing, organizing, and implementing all facets of the Dream in a timely and cost-effective manner. • Develop and maintain relationships with the Dream family throughout the dream process. • Ensure that all Dreamers in the caseload are engaged in Special Times and DCT is going above and beyond to bring hope and joy into the lives of the dreamer and their family. • Visit any dreamers when they are in the hospital or need a little extra joy and coordinate with Medical Partner Manager about dreamers in the hospital. • Establish budgets for each Dream, ensure fiscal responsibility for each Dream. • Ensure proper and up to date data entry in the organization's database of Dream child information throughout Dream process. • Ensure that each assigned Dream has all required forms completed and in the file. • Maintain an up-to-date profile on each dreamer including name, age, diagnosis, medical story, county, favorites/interests, photo, school, contact information and social media handles. • Ensure a creative, high-quality, personalized Dream experience for every child served including a once in a life-time magical dream reveal party. • Research, develop and maintain relationships with vendors to solicit in-kind donations and discounts to affordably grant Dreams to qualified children. • Maintain close communication with Dream families to ensure an orderly, magical Dream that is in the best interest of the child. • Support Development and Marketing Departments by providing information in a timely manner. • Assist in selecting Dream children for participation in special times and suggest new special times for the dreamers with unique needs. • Write/mail in-kind thank you letters, and Dream family correspondence as needed. • Engage volunteers with dreamers as appropriate and seek opportunities for volunteers to have impact. • Represent Dreams Come True responsibly, professionally and provide excellent customer service to all constituents. • Perform all other duties as assigned. Supervisory: This position does not oversee staff.

Required Skills/Abilities • Self-motivated, creative problem-solving team player who is a detail-oriented professional with excellent writing, organizational and interpersonal skills. • Ability to prioritize and manage multiple responsibilities with minimal supervision while working closely with a team is essential. • Experience with having difficult conversations. • Strong computer skills. • Strong public speaking abilities. • Excellent communication and customer service skills. • Ability to interact with diverse groups and work successfully in a collaborative, team-oriented organization. • Must have reliable transportation and be willing to work evening and weekend hours as needed.

Education and Experience

Preferred Skills and Experience • Non-profit experience and/or experience working with children • Volunteer engagement • Fundraising or securing in-kind donations experience • Event, project management and/or travel planning experience
