Are you outgoing, enjoy meeting new people? Interested in Jacksonville history? Downtown location near VyStar Veteran’s Memorial Arena seeking individual who enjoys collaborating with co-workers and interacting with the general public. Often the first face/first voice of the Jacksonville History Center, the office administrator must exhibit warmth and professionalism. Position is flexible; can be part-time with minimum of six hours/day or full-time if desired. Public office hours are 10 a.m. to 4 p.m.

Essential duties and responsibilities

1. Support Fundraising and Membership Efforts – Assist with donor, member, and prospect communications; proactively maintain the donor database; process and record membership dues and donations; prepare bank deposits; and ensure timely donor acknowledgments. 2. Manage Organizational Communications & Outreach – Handle phone calls, visitors, and incoming mail (postal and email), responding or redirecting as appropriate. Draft, file, and distribute correspondence, meeting notices, and other key documents. 3. Coordinate Office and Facility Operations – Schedule appointments for property maintenance, inspections, etc.; order office supplies, and ensure smooth day-to-day operations. 4. Maintain Organizational Calendar & Meetings – Manage the master calendar of events and meetings, ensuring timely follow-ups and actions as needed. 5. Assist with Human Resources and Security – Collect payroll timesheets, maintain security protocols, and manage key access. 6. Other Duties as Assigned – Support the CEO and leadership team with additional administrative and operational tasks as needed.

Qualifications

Excellent written and verbal communication skills are essential, plus interpersonal skills, ability to collaborate with co-workers and relate well with the public is essential. Must be highly organized, detail-oriented, and able to multi-task. Knowledge of local history helpful, but not required. This is not an entry-level position.

Education and Experience

Associate’s degree required, bachelor’s degree preferred; expertise with Microsoft Office products required. Knowledge of Bonterra/Network For Good, Bloomerang, or similar donor management database a plus.

Salary/Salary Range

$20-24/hour
